ECM in the cloud is increasingly becoming an effective option given the distributed workforce of today's enterprises where people need data at any place at any time. The explosion of mobile applications has necessitated a good API driven ECM strategy. Companies that do not want to be involved in content backup and archival processes are leaning more towards a cloud based solution.

Big data Analytics in ECM

Given the ever increasing size and speed of deployment of content throughout enterprises, big data technologies are not far behind. Enterprises who use big data technologies and analytics effectively in their content management strategy can improve their automated workflows, content-intensive decision applications and knowledge bases. This leads to Smart ECM which could be learning continuously based on metrics and indicators rather than guesswork. Most organizations have struggled in achieving this. Content analytics from structured and unstructured data has not become practical across companies despite being a technical possibility for several years now. Companies should be trying to create statistics about the contents of the texts like frequency of usage of specific entities or quality of data used across data stores.

Areas of innovation in ECM include its intersection with Contextual reference, social media, Big Data, Mobility and Cloud computing. Enterprise content has to be presented quickly in the context of the user’s role and usage so that it is relevant to the user experience. Most users spend time on Content management from remote locations at different time zones. This necessitates the need for the content management strategy to be mobile friendly and API based. Mobile workers should have a Mobile App based Content management strategy through different devices like Tablets and smartphones while incorporating an offline strategy as well.

As per Gartner’s Magic Quadrant for ECM, there are several companies like OpenText, Hyland and Lexmark that challenge leaders like IBM and Microsoft. Some of the newer technologies in this space would be image processing, real-time collaboration and cloud based services will be influencing ECM Strategy heavily moving forward. Machine learning systems will make content management “smart” and effective.

Challenges in ECM and How to mitigate them

From an ECM standpoint, organizations will have several challenges coming up very soon. Transitioning from the traditional document, records and content management strategy to an internet driven data feeding strategy will mean organizations will have to gear up their content management strategy to be more agile, API driven and unstructured. Analytics around this data collected will be paramount to convert these systems to be smart and self-learning.

A possible cloud solution could be looking at mature subscription based SaaS ECM solution that satisfies the organization’s need while being an operating expense rather than a capital expense.

Future of ECM

IoT driven insights will change the way content managers take decisions and actions. For example, content transmitted by lightning poles, municipal command and control centers, smart grids and connected medical or city departments constitute the entire data strategy for “Smart Cities”. This is going to be the way businesses will be run in the future. Manufacturing content management systems will be receiving thousands of data points from sensors, internet enabled devices and robots that help understand the overall picture of business.
